As we grow our operations, we are looking for a Berlin-based Executive Assistant & Office Manager (m/f/d, full-time) who will work 50% for our Managing Director (MD) Clara Péron and 50% as part of our Operations Team.

What you bring

  • Passion to support a managing director in executing operational tasks
  • Min. 2 years of professional experience in assisting a senior manager or working in similar fields of activity (e.g. as an office manager, team assistant, PR/Marketing manager)
  • Ability to process complex information from interactions with multiple internal and external stakeholders and confidence in charting effective solutions to situations
  • Excellent written and verbal communication skills in both German and English (fluent)
  • Bachelor's degree, completed vocational training or equivalent work experience in the related work fields
  • Openness for daily availability at our Berlin office
  • Strong organizational skills and ability to prioritize multiple tasks seamlessly with a strong attention to detail
  • Ability to work independently, with structured work methods
  • Proficiency in Microsoft Office (Outlook, Word, Excel, and Power Point) and Adobe Acrobat
  • Very strong interpersonal skills and the ability to build relationships with key stakeholders

Your responsibilities

1. Executive Assistant (50%)

  • Manage MD's schedule
  • Draft, review and send communications on behalf of MD
  • Organise and prepare meetings, including gathering documents and attending to logistics of meetings
  • Prepare conference attendance (researching attendees, organizing meetings, etc.)
  • Being present in the office as MD's schedule requires
  • Categorise and prioritise emails and respond when necessary
  • Coordinate travel arrangements, prepare itineraries, plan logistics and prepare travel expense reports
  • Maintain various records and documents for MD
  • Conduct desk research, prepare reports and presentations for MD
  • Collect MD's invoices and forward to finance team
  • Support drafting of social media posts

2. Office Manager (50%)
  • Presence at our office as the work requires
  • Ensure an organized and well-functioning office environment
  • Office maintenance (Real estate company management, General maintenance oversight, Office cleanliness oversight)
  • Food, amenities and work supplies procurement
  • Support with team events
  • Inventory management
