About The Role
We're excited to share our search for an Office Manager based at our office in Frankfurt, Germany.
As Office Manager, you will play a pivotal role in ensuring the smooth and efficient operation of our office environment. Your responsibilities will encompass a wide range of administrative and support tasks, to ensure we maintain an organized, productive, and positive workplace for our Icertians and visitors to the Frankfurt office.
You will be the central point of contact for a variety of office-related matters and play an important part in fostering a conducive working atmosphere for all.
This is an exciting office-based role where you'll have the opportunity to collaborate in person with our dynamic team, working on-site five days a week.
- Oversee and coordinate daily administrative tasks and activities to ensure seamless office operations in a hands on and proactive manner.
- Manage office supplies, including inventory, such as refreshments, office equipment and utensils, pro- actively facilitating the needs of the team.
- Act as the liaison between building management and the company to ensure a fully functional office environment.
- Schedule and coordinate meetings, conferences, and other office events as required. Including arranging hotels, transportation, restaurants, etc.
- Respond to general enquiries and requests, both internal and external, in a professional and timely manner.
- Provide support for offices in EMEA, currently Munich and Paris, regarding administration tasks and initiatives.
- Vendor management for office supplies and services, ensuring service levels are maintained, invoices processed and paid in a timely manner and negotiation of costs.
- Assist with onboarding and offboarding of employees including configuration of laptops (supported by IT Team), sending and receiving laptops, couriering equipment and items to remote employees
- Manage office badges.
- Assist in scheduling of interviews and providing support for regional Recruiter e.g. liaising with candidates and meet & greet candidates.
- Participate in and lead various wellbeing and social initiatives for the office and EMEA.
- Provide administrative support to EMEA HR team as required.
- Proven experience as an Office Manager or in a similar administrative role.
- Strong organisational and multitasking abilities.
- Excellent communication and interpersonal skills with the ability to work in business English and German, both oral and written.
- Proficient in office software, ideally Microsoft and technology.
- Problem-solving and decision-making skills.
- Ability to work independently and collaboratively in a dynamic environment.
