We are seeking a highly motivated, trustworthy, and detail-oriented Assistant to support one of our Managing Directors in Berlin. This role is pivotal in managing daily operations and ensuring the smooth execution of critical administrative tasks. You will serve as the primary point of contact for the Managing Director's activities, handling complex scheduling, travel coordination, and confidential communications with professionalism and discretion. This is an exciting opportunity to work closely with top executives in the highly regulated energy trading industry.


  • Manage complex and constantly evolving calendars, meetings, and appointments for the Managing Director.
  • Act as a liaison between the Managing Director and internal/external stakeholders, ensuring clear communication and smooth execution of tasks.
  • Organize, file, and distribute confidential documents with discretion and accuracy.
  • Support with various administrative tasks, including document preparation, contract signatures, and data entry.
  • Handle incoming requests and inquiries with speed and professionalism, prioritizing urgent matters.
  • Assist in planning and organizing both personal and professional meetings.
  • Coordinate travel arrangements, including bookings, reimbursements, and invoice processing.
  • Provide occasional support to other C-Level Executives.


  • At least 2 years of proven experience as an Office Coordinator, Personal Assistant, or similar role, preferably within a high-paced environment.
  • Excellent organizational and time-management skills, with a keen attention to detail.
  • High level of discretion and integrity when handling sensitive information.
  • Excellent communication skills in English (C1/C2) and German (C2).
  • Ability to manage multiple tasks, prioritize effectively, and work well under pressure.
  • Highly skilled in Microsoft Office Suite (Word, Excel, PowerPoint) and Outlook, with expertise in scheduling and communication.
  • Available to work onsite for 20–30 hours per week.
