Shanghai Huizhong Automotive Manufacturing Co. Ltd (SHAC) is an international automotive supplier offering chassis structural components and module assembly to automotive OEMs around the world. With 4800 employees worldwide, the chassis design engineering team plays a critical part in assisting our automotive clients to develop the optimum chassis system with a safe, comfortable, and pleasant driving experience.

Huizhong Automotive Chassis System Germany GmbH (SHAC Germany) is the European center, working as the interface at the European automobile manufactures and partners with multi-functional roles (sales, engineering, quality, logistic, purchasing and etc.)

Objectives of the position

The main objective of this position, administrative assistant is to work together with the team German subsidiary and continue to grow the business in Europe. In addition, the job holder is involved in administrative and accounting, and support SHAC China in all administrative topics that arise.

Responsibilities

- He/she is responsible for ordering office supplies and researching new deals and suppliers

- He/she is responsible for the dealing with all the receiving invoices, and requesting for payment from our accounting department

- He/she is responsible for planning meetings, scheduling appointments, arranging the business trips and supporting to take minutes if necessary

- He/she is responsible for maintaining contact lists

- He/she is responsible for the reception of the visitors

- He/she supports the team to generate the report to the internal and external clients

- He/she supports to maintain the company documentation, and the filing system

- He/she supports to draft the budget, and tracking the budget for different projects

- He/she is responsible for issuing the invoices and payment reminders

- He/she is responsible for other administrative and office topics, when the task is assigned by the supervisor

Collaboration

The job holder works closely with colleagues from the parent company to complete the tasks at hand in the best possible and collaborative manner. Special attention is given to the interaction with the direct supervisor as regular reports are submitted and analyzed.


- Bachelor's degree or equivalent

- Superb written and verbal communication skills, English and Mandarin Language skills are mandatory, German Language skill is a plus

- Skills for MS-office are required, Aptitude for learning new software and systems

- Strong time-management skills and multitasking ability

- Proven administrative experience is a plus

- Proven experience with ERP system, such as SAP is a plus
