The Event Operations and Exhibition Sales Manager's goal is to strengthen SEMI Europe's event management and support exhibition sales growth. This role will work in collaboration with cross-functional team members to support SEMI Europe's event management, support the promotion and growth of event exhibition, strengthen customer and vendor relationships, and support the flawless execution of SEMI Europe events. This is a highly visible, customer facing position that requires someone with exceptional organizational, communication, and presentation skills.

This is a full-time, exempt position which reports directly to the Senior Director of Business Development and Operations of SEMI Europe and is based in Berlin, Germany and offers a hybrid working model.

CORE RESPONSIBILITIES:

  • Support exhibitor management to retain and onboard exhibitors for events, ensuring 100% retention year-on-year.
    • Collaborate with key stakeholders to develop annual SEMI Europe exhibition and event strategic plans.
    • Support planning and assignment of booth space and manage floor plans including special exhibition areas.
    • Lead discussions with exhibitors with tactful handling of stakeholder requests and questions.
    • Complete the exhibitor sale process including selling, follow up, payments, and invoicing.
  • Support the event management team and collaborate with teammates to effectively prepare for events and ensure flawless execution onsite.
    • Manage and maintain all logistical and operational aspects of events and exhibitions.
    • Draft and maintain event production timeline and monitor critical interfaces to other departments such as business development, sales and marketing and membership.
    • Manage the planning and allocation of conference and meeting room allocations for all SEMI programs and events, internal meetings, and customer meetings.
    • Manage booth space packages and pavilions concepts.
  • Support the development and maintenance of event budgets and exhibition targets.
    • Create and manage budgets for all SEMI Europe events with detailed listing of venue and vendor related expenditures.
    • Monitor ongoing budget progress for events and maintain records of show expenditures against budgeted figures.
    • Provide exhibition and events-related financial reports to SEMI Europe management.
    • Ensure that show projects are within budget and follow up with recovery of outstanding payments.
  • Liaise with venues and vendors to strengthen partnerships and secure the best rates.
    • Negotiate contracts with event venues, vendors, and contractors.
    • Define, select, and manage (including price negotiations) the necessary contractors or subcontractors for decoration, signage, hotels, catering, A/V, registration, side events, and others as needed.
    • Manage event invoice processes and ensure timely payment follow up.
  • WHAT SUCCESS LOOKS LIKE:

    • Execution of all event management activities is flawless – prior to and at events, and online.
    • SEMI Europe's events and exhibition opportunities are well-promoted and recognized by the industry.
    • Engagement with exhibitors improves year-on-year with 100% retention.
    • Event survey feedback on event execution is positive, validating the efforts of the event operations team.
    • Budget targets for exhibition revenue are met and ideally exceeded.
    • Budget targets for event expenses are met or reduced.
    • Lead time to close on the financials and invoicing for event expenses and exhibition revenue is completed in a timely manner.

The ideal candidate will have experience in event management or conference production. She/he is an innovative manager that is passionate about planning and successfully executing events and growing the exhibitor customer base. She/he excels at designing and delivering successful events and has an extreme customer focus mindset. She/he is a structured, proactive, team-oriented, and independent person with a results-driven approach to work.

KNOWLEDGE OR EXPERIENCE:

  • Education in event operations or relevant field.
  • 5+ years of event management, conference production, or related field.
  • Experience with planning and executing events and expos that drive industry engagement.
  • Knowledge of floor planning and event registration systems.
  • Strong experience in dealing with exhibitors/attendees and managing contractors.
  • Sales experience and industry knowledge are preferred, but not required.
  • Fluent in English; Fluency in German would be a plus.
  • Based in Berlin and ready to work in a hybrid environment.
  • Open-minded to joining an international and culturally diverse team environment with English as the primary language.
  • Ready to work outside regular hours when needed, especially in the weeks prior to Europe events and during busier periods.
  • Proficient knowledge of Microsoft Suite (Ex: Excel, Word, PowerPoint).
