Office Manager (with Responsibility as Assistant Head of Admissions) (m/f/d)


The Office Manager is the first point of contact for all families, teachers and pupils, suppliers, visitors and callers. The Office Manager not only represents St. George's School and its philosophy but also plays an active role in school life. The role requires a highly proactive individual with excellent interpersonal and communication skills. The aim of the Office Manager with responsibility as Assistant Head of Admissions is to provide a professional and welcoming admissions process for all prospective from the first enquiry up until the enrolment of the new pupil and beyond that, once the pupil has started at the school. The right person will be comfortable working in a collaborative environment, loves providing creative people solutions and can thrive in a growing, and fast-changing environment.

Main Responsibilities Office Manager:

  • First and important point of contact for families, prospective families, suppliers, teachers and pupils in person, via email and on the phone
  • Representing St. George's School and promoting the St. George's philosophy and values
  • Scheduling meetings and school tours and liaising with different stakeholders across the school like Admissions, Facilities and Academic Staff
  • Responsible for the daily pupil registration and ensuring a safe school environment
  • Dealing with school accidents and the respective documentation
  • Document translation (English – German / German – English)

Main Responsibilities Assistant Head of Admissions:

  • Ensuring a seamless experience for all current and prospective families
  • Support the Head of Admissions on a daily basis in all matters to fulfil its job description and the defined school vision and objectives
  • Process initial enrolment enquiries, including arranging trial days.
  • Administration of pupil admissions according to agreed admissions checklists.
  • Support the Head of Admissions as the school's MIS system expert for the assigned school by entering, summarising, analysing and reviewing data for accuracy to produce standard, custom and confidential reports for use in school, by the Board Members and for external authorities.
  • Maintain and utilise the school's MIS student information system, fully implementing the group standardisation guidelines in an accurate manner.
  • Implement appropriate filing and archiving systems (electronic and physical).
  • Maintain archive records for admissions and arrange for old records to be destroyed as necessary and in line with GDPR regulations.
  • Issue & retain copies of official pupil documents.
  • Process and record pupil notices, following up with parents and management to track reasons for departure, and liaising with management to maximise the chances of retaining pupils.
  • Record staff absences in the school's MIS and monitor sick notes.
  • Provide necessary administrative support for Boarding House
  • Provide necessary support for bookkeeping related tasks as and when they required.
  • Undertake other reasonable duties related to the job purpose required from time to time.
