European XFEL is an international non-profit company located in the Hamburg area in Germany. It operates a 3.4 km-long X-ray laser, which produces X-rays of unique quality for studies in physics, chemistry, the life sciences, materials research and other disciplines. The diverse scientific facilities at European XFEL enable scientists from across the globe to carry out a wide range of experimental techniques.

For our User Office group we are looking for a

Travel Administration Assistant (f/m/d)



  • handling and follow-up of the business travel management workflow, from travel request and travel booking, to settlement of reimbursement
  • checking and approval of business travel related invoices and claim documents
  • general contact point for staff, guests and users concerning business travels
  • practical (travel) arrangements and communication for funded users and Proposal Review Panel members
  • stand-in for other User Office colleagues in case of absence

  • accounting or commercial professional training, or bachelor's degree in a relevant administrative field
  • experience in processing travel expense reports and claims, including handling tax invoices
  • general knowledge of relevant legal framework (Federal Travel Expense Act = Bundes­reisekosten­gesetz, Fiscal Code Law = Einkommens­teuergesetz), as well as experience with travel management systems are an asset
  • proficient use of Microsoft Office software package
  • good written and oral communications skills in English, i.e. ability to work in a multilingual team, with English as the working language. Knowledge of German is considered an asset.
  • communicative service-oriented personality, ability to focus and good organizational skills
