The Admin team in Hamburg is looking for a well-organized, hands-on, and service-oriented Admin & Front Desk Manager to take on various administrative tasks in close cooperation with the Front Desk in the Lübeck office and ensure smooth operations within our organisation.


  • You are the representitive of the Oldendorff reception in Hamburg and will be the first line of contact for all visitors, guests and colleagues.
  • As a vital part of our Office Management team, you will be responsible for managing front desk operations, coordinating office services and handling various adminstrative duties on a regular basis.
  • You will conduct checks and setups for meeting rooms, coordinating catering services including ordering refills.
  • Booking accommodation and restaurants, arranging external meeting rooms and event venues will be your regular tasks.
  • You will administrate parking arrangements, schedule taxi and chauffeur services.
  • Managing mail and courier services, handling inbound calls, distributing access cards and tracking invoices will be handled by you.
  • You will be supporting the Office Management & Admin Management in reoccuring tasks and special projects, including covering absences as needed.

  • Proven experience in administrative management or a similar role
  • Fluency in German and English (spoken and written)
  • Strong organizational and multitasking skills with the ability to prioritize tasks effectively
  • Excellent communication and interpersonal abilities
  • Proficiency in Microsoft Office Suite and other relevant software
  • Service minded mentality
  • Ability to work independently and collaboratively within a team
  • Attention to detail and a commitment to maintaining high standards of efficiency and professionalism
