Role Overview
As the Executive Assistant for Nanostone, you will provide general administrative support to the company's global executive management team, and local administrative oversight for the company's German headquarters in Halberstadt. You will also have global responsibility for management of corporate and commercial legal documents and contracts.
- Provide administrative support to executive management (e.g. travel arrangements, meeting hosting/logistics).
- Establish and manage process for approving and receiving visitors to Halberstadt site. Ensure that confidentiality provisions are followed.
- Monitor company central email & phone contact lines, forwarding information to appropriate company contacts.
- Support the Sales Process and Proposal Management.
- Develop and maintain standardized filing structure for legal documents.
- Support project managers as contract administrator. Ensure appropriate documentation management, and timely issuance of invoices and collection of payments.
- Location – Halberstadt. Expected to work predominantly on-site; allowance for occasional work-from-home days.
- Bachelor degree or corresponding qualification and / or experience. Alternatively, appropriate apprenticeship and experience.
- 10+ years of administrative experience, with a background in legal administration and/or contract administration and sales backoffice preferred.
- Highly organized and structured individual.
- Demonstrated ability to develop and manage internal business processes.
- Capable of working relatively independently with minimal direction.
- Good MS Office skills (Office 365, Sharepoint, OneDrive).
- Fluent written and oral communication in both English and German.
