Job Description

Canada's official representation in Germany includes the Embassy of Canada in Berlin, as well as consulates in Düsseldorf and Munich. Members of the team work in a fast-paced multidisciplinary and international environment. The role of the three offices and their more than 100 Canada based and locally engaged staff is to develop the relationship between Canada and Germany across a number of areas.

The Common Services Program is responsible for the effective and efficient management and operations of the Embassy of Canada through the provision of high-quality common services to the Embassy and network of Canadian diplomatic missions in Germany.

The Embassy of Canada in Berlin is seeking a:

Common Service Clerk - Reception (Part-Time) (m/f/d)


Under the general supervision of the Common Services Officer, the Common Services Clerk operates the central telephone switchboard and general email inbox serving all Embassy Programs. The incumbent provides services on behalf of all programs, which include operating the switchboard, welcoming visitors, providing general information, and controlling physical access. The incumbent of the position also provides administrative support services to the Common Services program, including such tasks as data entry, scanning, filing, and basic internet research; and performs other duties as required.

The incumbent directs specific queries to relevant programs within the Embassy; answers general enquiries on Canada in English, German and French; directs outgoing mail for the Embassy; controls access to the Embassy, ensures that the reception lobby is in good order, and upholds the security policy.


Essential qualifications include at least a Realschule degree or equivalent, oral fluency and good level of written English, oral fluency and good level of written French, and a good oral level of German. The ideal candidate has work experience in customer service or an office environment.


The position is indeterminate and part-time (18.75 hours per week). The starting salary is 21,258 EUR gross per annum. As per current terms and conditions, additional benefits include a yearly bonus of 13th month's salary, a 14th half month's salary bonus, 30 days of annual leave for a 5 days working week and a performance based annual salary increase.
