A PMO (Project Management Office) Assistant supports the project management team in ensuring that projects are executed efficiently and effectively. This role involves administrative and organizational tasks that help streamline project operations and enhance communication among team members and stakeholders.
Key Responsibilities
- Administrative Support: Assist in maintaining project documentation, schedules, and reports
- Data Management: Collect, organize, and analyze project data to support decision-making
- Meeting Coordination: Schedule and coordinate project meetings, prepare agendas, and document meeting minutes
- Reporting: Assist in the preparation of project status reports and presentations for stakeholders
- Resource Management: Help track project resources and support the allocation of team members
- Communication: Facilitate communication among project team members, stakeholders, and external partners
- Process Improvement: Contribute to the development and implementation of PMO processes and best practices
- Tool Management: Support the use of project management tools and software for tracking progress and resources
- On- & Offboarding of project members
- Event Management around the project e. g. kick-off, celebration
- Completed university degree with insights into technical and business topics, preferably with a specialization in project management
- Several years of project management experience
- Proficiency in MS Office, MS Project, and ideally MS Power Automate
- Solution-oriented and pragmatic approach to work
- Strong organizational skills to effectively manage projects
- Exceptional skills in dealing with stakeholders
- Critical thinking and attention to detail for effective project analysis
- Ability to work under pressure and meet deadlines
- Excellent oral and written communication skills in both German and English
- Assertiveness and diplomacy in handling project-related challenges
- Commercial thinking to contribute to the project&;s success
