Job Description

Urban Estate Ltd. is a full-service general contractor for hotels, office buildings, shops, restaurants, and residential properties.
We are looking for a new colleague to join our young and dynamic team, to implement exciting projects:

Office manager

Location:

  • Germany, München.

  • Ensures the smooth running of the daily work in the office.
  • Maintain organized electronic and physical filing systems for confidential documents, contracts, legal agreements, and other important records.
  • Manages cash flow and transfers between accounts with approval from the Manager.
  • Performs the secretarial, scheduling, and administrative work in the office.
  • Provides support and oversight to major projects/initiatives.
  • Assisting with proposal and contract preparation.
  • Finance, HR and similar assistant tasks.
  • Handling telephone calls, expense reports, and timesheets.
  • Excellent knowledge of German employment laws.
  • Liasing with head office, keep in touch with colleagues.
  • Issuing performance certificates and preparing contracts.
  • Filing the operational and project documents (invoices, contracts, performance certificates, delivery notes), scanning and backing up the documents to a central server.
  • Register and maintain of the Capex spreadsheet (financial and contract register).

  • At least 3-5 years experiences in similar role.
  • Strong communicational skills, and problem-solving attitude.
  • Excellent time management and organizational skills
  • Ability to always maintain discretion and confidentiality.
  • Fluenty in English and German
  • Proficient in multitasking and time management
  • Reliable software user knowledge (Excel, Word, Power Point)
  • Driving license.

  • Business English and German language skills.
