Title: Events Coordinator / Private Clients Services Coordinator (m/f/d)

Based At: Ingolstadt Village

POSITION SUMMARY:

The role of the Events Coordinator / Private Clients Services Coordinator (m/f/d) is to support the coordination and implementation of the PCS strategy for the Village to ensure optimal positioning, guest acquisition and thereby ensure footfall, spend and revenue targets. Working to and supporting the overall PCS and Hospitality Team.

KEY RESPONSIBILITIES:

To support the delivery of the PCS Events Calendar, The Apartment and PCS programs · Oversee and assist with set up of all in-village entertainment, and be on hand to welcome entertainers

  • Ensure all stakeholders are up-to-date throughout various different events
  • Tidying up of props used within the Village for events
  • Liaising with different teams
  • Administration tasks such as raising PO's for invoices and general support
  • Assisting to co-ordinate and set up third party suppliers
  • Ensure brand approvals and correct paperwork adhered too
  • Ensure all correct internal procedures are followed from new supplier forms through to purchase orders, public liability insurance and legal approvals
  • Preparing and helping to upload press coverage from events
  • Working closely with the Assistant PR Manager
  • Event calendar includes: Corporate events , HNW/VIP events – celebrities, ambassadors etc
  • VIP events; Digital/social events – bloggers, influencers; Brand events; Campaigns events; Third party events


BACKGROUND AND SKILLS:

  • Preferably educated to degree level or equivalent qualification
  • Experience in the Hospitality/Luxury Brand Segment
  • Good knowledge of the HNW market & retail/shopping fits
  • Structured and methodical approach with high level of attention to detail
  • Ability to build strong relationships with HNW guests, key partners, colleagues & stakeholders
  • Ability to work in a multitasking role/environment
  • Ability to stay calm under pressure and meet tight deadlines
  • Self-starter & self-motivated. Able to work individually and as part of a team
  • Excellent verbal, written, and interpersonal communication skills
  • Excellent report writing, analytical skills
  • Computer literacy (Microsoft office and Salesforce or equivalent database management system)
  • Fluent in English and German, any other languages are benefitial
