Assist in the planning, execution & reconciliation of logistic organization of events whether virtual, physical, or hybrid, sales & marketing meetings and congresses. Have an in-depth understanding of Events environment together with the skills and industry knowledge required to organize an event from A to Z. Also prepare events budgets, conduct research and analyze post-course activities. Support the design, facilitation and the implementation of education experiences for health care professionals.
How You'll Create Impact
  • Organisation and participation in the development of meeting goals & objectives under the MedTech Europe guidelines and Zimmer Biomet Corporate Compliance program.
  • Assist in planning for events & booth development for congresses
  • Preparation of budgets (preliminary, working & final meeting budgets)
  • Contract negotiations with hotels, conference centers, destination management companies, production companies, transportation companies, and other vendors.
  • Manages technology vendor interaction for digital events deployment (sets up event, registration page); serves as the liaison between the customer, sales, marketing, medical education & the vendor to ensure that expectations are being met
  • On-site execution focused on the Customer Experience.
  • Ensure outcome of the meetings, as well as corporate events & congresses, align to Corporate Goals & Objectives.
  • Develop event materials, manage food & beverage (F&B), Time & Events schedules (T&E), Arrival & Departures manifests (A&D manifests), Banquet & Event Orders (BEOs), housing lists & confirmation notices, HCPs process related requirements both internal and external.
  • Effectively interface with a diverse group of internal and external personnel to include senior management, distributors, sales associates, customers, travel office & vendors.
  • Manage post-event duties including invoice reconciliation, charge backs & expense analysis.
  • Analyze the event's success & prepare reports
  • Work directly with surgeon educators, delegates & the EMEA & local Marketing team to deliver the plan.

Special expertise
  • Must be proficient with commonly used software.
  • Ability to establish assigned programs to ensure the maximum effectiveness of the organization's efforts in achieving strategic goals
  • Preferable knowledge of the Cvent system
Languages
  • Fluency in English and native German language skills are required.
Your Background
Education
  • Degree in commercial education or commercial apprenticeship preferably in the meeting and congress industry or other commercial industry or similar or other non-US equivalent certification.
Professional experience
  • Minimum 2-3 years' coordinator experience in meeting and congress planning industry. A combination of education and experience will be considered.

  • Commitment to customer service and team-oriented management
  • Excellent interpersonal skills, able to build rapport and influence all Zimmer Biomet customers, both internal and external
  • Ability to manage and meet deadlines
  • Must be enterprising, diplomatic, and proactive at solving problems
  • Documented successful track record in an education management role
