Contract Type: Part-time, permanent, approx 30 hours per week, subject to a 3 month probation

Location: Münster, NRW, Germany.

Salary: We have benchmarked a salary in the region of €40k-€50k (reduced pro rata for part time), dependant upon experience

The Role

We are looking for an experienced Personal Assistant to provide support ( personal and business) to the CEO of a global software business (vable.com).

We are a profitable SaaS business servicing the needs of international law firms and government departments, mostly in the USA and UK. We're on a mission to help our clients become as efficient as possible when it comes to managing huge volumes of information - so that lawyers and business leaders can stay on top of the news that matters, and as a result make faster and better decisions.

To be successful you need to be fluent in English and German, have several years as a personal assistant as well as financial experience. You will also need to have meticulous attention to detail, and excellent communication and time management skills. You also love solving problems and are always looking for ways to improve efficiency.

Key responsibilities will include, but are not limited to:

  • Managing all admin matters (personal and business)
  • Calendar, email inbox and file management.
  • Booking travel
  • Ad hoc projects
  • Bank reconciliations
  • Producing monthly management reports
  • Managing Accounts Payable and Accounts Receivables
  • Liaising with tax advisors and authorities and ensuring timely filings

We would love to hear from you if you have the criteria below:

  • Minimum of 2 years of experience as a Personal Assistant
  • Minimum 2 years experience in financial / bookkeeping roles
  • Proficiency in cloud based financial software and tools
  • Proficiency in cloud based communication, project management and collaboration tools (eg slack, monday.com and gmail, google docs)
  • Excellent analytical and problem-solving skills
  • High level of integrity and ability to deal with sensitive information
  • Meticulous attention to detail.
  • Strong organisational and time management skills, with the ability to manage multiple priorities and meet deadlines.
  • Excellent communication and interpersonal skills.
  • High degree of initiative, reliability and flexibility.
  • Fluency in English and German at a business level; other language skills are beneficial
